This Privacy Notice for DentalTechHub Inc. ("DentalTechHub," "we," "us," or "our") describes how and why we process your personal information when you use our Services, including our website and mobile application. The Services are intended for users in the United States.

1. What information do we collect?
Information you provide may include names, phone numbers, email addresses, mailing addresses, job titles, and contact preferences. We do not process sensitive personal information. If you register or log in with a Google, LinkedIn, or Apple account, we receive certain profile information from that provider.
We automatically collect log/usage data, device data (including, in our mobile application, device identifiers and app version), and general location derived from your IP address. We do not currently collect precise device location.
In the mobile app, we also collect practice details you provide — such as your role, the number of locations and operatories (chairs) in your practice, and your practice's ZIP code — to tailor the directory and recommendations to your practice.
2. How do we process your information?
To create and manage accounts; deliver the directory, search, shortlists, and comparison features; operate Mola and personalize recommendations; facilitate demo requests you initiate with vendors; respond to inquiries; send administrative messages and, unless you opt out, marketing messages; for analytics; for security and fraud prevention; and to comply with law.
3. When and with whom do we share information?
We share information with service providers that support our Services — cloud hosting, analytics, email, customer-support tooling, the AI provider(s) that power Mola (currently Anthropic, potentially OpenAI), embedded scheduling tools, and social login providers. We do not sell or share your personal information for targeted advertising. We may also disclose information for business transfers or to comply with law.
Sharing with vendors when you request a demo. When you submit a demo request or book a demo with a vendor through the Site — including through a vendor's embedded scheduling tool — the information you provide (such as your name, email, practice name, and any message) is sent to that vendor so it can respond to you. Those vendors are independent third parties, not our service providers; they use your information under their own privacy policies, and we are not responsible for their practices.
4. Cookies and tracking technologies
Cookies are small text files stored on your device when you visit a website. We use cookies and similar technologies — including local storage, software development kits (SDKs) in our mobile app, and pixels — for security, preferences, basic site functions, and analytics. We do not use cookies for targeted advertising, and we do not sell or share the information they collect for cross-context behavioral advertising.

We do not use advertising or social-media tracking cookies. Social login (Google, LinkedIn, Apple) sets cookies only when you choose to sign in with those providers, and is governed by their policies. You can manage non-essential cookies through your browser or device settings, which let you block or delete cookies. Blocking strictly necessary cookies may prevent parts of the Site from working. Because we do not use cookies for targeted advertising, no advertising opt-out is needed; we honor recognized opt-out preference signals (such as Global Privacy Control) on the web to the extent required by law.
5. Social logins
If you log in with Google, LinkedIn, or Apple, we receive profile information that typically includes your name and email (Apple may provide a private relay email) and, where available, a profile picture.
6. The Mola assistant and AI features
When you use Mola, we process the questions and preferences you provide to generate recommendations and may store interactions to operate, secure, and improve the assistant. Mola runs on third-party AI providers via their commercial APIs; under those API terms your interactions are not used to train their models. Please do not enter PHI or sensitive information into the assistant. Your use of Mola is also governed by the AI features section of our Terms of Use.
7. Location information
We may determine general location from your IP address. We do not currently collect precise device location; if we add such features, we will collect precise location only with your permission and update this notice.
8. How long do we keep your information?
We retain account data while your account is active and for up to 24 months after closure, then delete or anonymize it. We may retain limited information longer where required to comply with law, resolve disputes, or enforce our agreements.
We retain your personal information for as long as your account is active. You can delete your account at any time directly in the DentalTechHub mobile app at Profile > Account > Delete Account, and on our website from your account settings; you may also request deletion by emailing [email protected]. When you delete your account, we delete or de-identify the personal information associated with it — including your profile and practice details (such as your role, number of locations and operatories, and ZIP code), your saved vendors and shortlists, and your Mola conversation history — within 30 days, except where we are required or permitted by law to retain certain information longer (for example, to meet legal obligations, resolve disputes, prevent fraud, or enforce our agreements). Residual copies may remain in routine backups for a limited period until those backups are overwritten on our standard cycle, after which they are permanently deleted. Information you previously chose to send to a vendor (for example, when you submitted a demo request) is held by that vendor under its own privacy policy and is not affected by deleting your DentalTechHub account.
9. Minors
The Services are intended for business and professional users who are at least 18 years old. We do not knowingly collect personal information from anyone under 18. If we learn that we have collected such information, we will delete it.
10. Your privacy rights and how to exercise them
Depending on your state, you may have rights to access, correct, delete, and obtain a copy of your information, and to be free from discrimination for exercising these rights. To exercise any right, email [email protected]. We will verify your request and respond within the time required by applicable law. You may use an authorized agent to submit a request on your behalf.
Appeals. If we decline your request, you may appeal by emailing [email protected] with "Privacy Appeal" in the subject line. We will respond to your appeal within the timeframe required by your state's law and, where applicable, tell you how to contact your state attorney general if you remain unsatisfied.
11. Do Not Track and Global Privacy Control
Some browsers offer "Do Not Track" (DNT) or Global Privacy Control (GPC) signals. Because we do not sell or share personal information or use it for targeted advertising, these signals do not change what we collect. We will honor opt-out preference signals to the extent required by applicable law.

13. How do we keep your information safe?
We maintain reasonable technical, administrative, and physical measures designed to protect your personal information, including encryption in transit and at rest, access controls, and a written information security program. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security. You are responsible for keeping your account credentials confidential. If a security incident affecting your personal information occurs, we will notify affected users and regulators as required by applicable law.
14. Users outside the United States
Our Services are intended for users in the United States and are not directed to individuals in the European Union, United Kingdom, or other regions with separate data-protection regimes. If you access the Services from outside the United States, you do so on your own initiative and are responsible for compliance with local law, and you understand your information will be processed in the United States.
