Questions to Ask a Dental Insurance Verification Vendor

A useful vendor demonstration should show how insurance information is retrieved, completed, stored, corrected, and handed to staff. Product labels and sample reports are not enough.

A dental insurance vendor demonstration organized around seven workflow questions

DentalTechHub’s webinar evaluation method asks vendors to demonstrate PMS write-back, describe payer-specific workflow steps, provide a full sample breakdown, and supply a relevant reference customer. 1

1. What does “verification” mean in this proposal?

Ask the vendor to separate active eligibility, high-level benefits, and a full benefit breakdown. A clearinghouse response may confirm coverage without returning every limitation needed for a full breakdown. 2

Request a field list for each service level. Mark required, optional, unavailable, and manually researched fields.

2. Which mechanism produces each field?

Verification workflows can combine stored plan research, clearinghouse transactions, payer portals, automated payer calls, and human verification. 3

Ask the vendor to identify the mechanism for each part of a sample result. This reveals freshness, likely exceptions, and the human work behind an “automated” label.

3. Where does the result land in our PMS?

Require a live or sandbox demonstration in the proposed PMS workflow. Ask:

  • Which fields are structured?
  • Which details arrive in a note or document?
  • Can downstream billing or treatment workflows reuse the data?
  • Does staff copy anything manually?
  • How is the source and check date preserved?

“Integrates with” should begin this demonstration, not end it.

4. What happens when information is incomplete?

Give the vendor a case with missing fields. Watch how the system shows the gap, escalates it, and assigns work. Ask about portal changes, payer-call failure, unsupported carriers, and results that arrive after the office deadline.

The demonstration should leave blanks visible rather than making missing information look complete.

5. How will we test payer and case variation?

Build a pilot sample with routine eligibility, complex treatment, a plan change, a difficult payer, and a case that needs manual follow-up. Ask the vendor to describe expected performance by mechanism rather than give one universal accuracy statement.

Track required-field completion, turnaround, correction time, payer calls, and where the result lands.

6. What work remains with our team?

Ask who reviews results, handles exceptions, updates plan records, corrects PMS data, calls payers, and communicates unresolved information. Include staff time in the operating model even when the vendor fee is fixed.

Also ask what the practice must configure before launch: locations, providers, carriers, required fields, lead times, and escalation rules.

7. Which contract and implementation terms affect the workflow?

Request the quoted service level, usage assumptions, implementation duties, support path, contract term, cancellation process, data export, and every situation that creates an additional fee. Date all price information and keep it outside the clinical or operational claims.

Ask for a reference practice that uses the same PMS and a payer mix relevant to your office. A reference is context, not proof that your workflow will perform the same way.

A reusable demonstration script

  1. Start with a scheduled test patient in a sandbox.
  2. Run an eligibility-only case.
  3. Run a full-breakdown case.
  4. Show an incomplete payer response.
  5. Escalate the exception.
  6. Inspect every PMS field, note, document, and task.
  7. Correct one item and show the audit trail.
  8. Export or report unresolved work.

Use the same script with every candidate. Record what was shown, what was described, and what remains unverified.

Read the verification software guide, eligibility versus full breakdown, and integration claim checklist before scheduling demos.

Frequently asked questions

Should a vendor demo use our patient data?

Use a sandbox or properly de-identified test case unless the practice has approved a secure production test.

What if the vendor cannot demonstrate our PMS?

Record the integration as unverified for your workflow and request a technically relevant reference or controlled implementation test before relying on the claim.

Is a sample full breakdown enough?

No. Ask how each field was obtained, where missing fields appear, how the result enters your PMS, and what staff still do.
