What to Ask About PMS Integration for Insurance Verification
An insurance verification vendor can appear on a PMS partner page and still leave important workflow questions unanswered. The directory establishes a relationship label. The practice must verify the data movement.

What the partner label can tell you
DentalTechHub’s September 6, 2026 review found that PMS partner labels served different purposes: some indicated an authorization or review relationship, some described billing or support arrangements, and some presented a partner list without stating a validation standard in the label. 1
Record the exact label and check date. Do not translate it into “full integration,” “two-way write-back,” or “works well” unless the PMS and vendor provide evidence for those separate claims.
Ask what the vendor reads
For a scheduled patient, identify whether the verification workflow can read:
- patient and subscriber identifiers;
- payer and plan information;
- appointment date and type;
- provider and location;
- existing benefit details and their check date;
- office rules that determine verification depth.
Ask which fields come directly from the PMS, which staff re-enter, and how often the connection refreshes.
Ask what the vendor writes
The DentalTechHub demo framework requires vendors to demonstrate PMS write-back rather than describe it. 2
Inspect the final record. Determine whether the result is:
- structured benefit fields;
- a note;
- an attached document;
- a task;
- a link to an external dashboard;
- some combination of these.
Ask which downstream users can find and reuse the information without copying it.
Test eligibility and full-breakdown depth separately
A clearinghouse eligibility response may confirm active coverage and high-level benefits without every limitation needed for a full benefit breakdown. 3
Run one eligibility-only case and one full-breakdown case. Compare returned fields, missing-field handling, write-back location, staff work, and turnaround. Do not let one successful eligibility response stand in for the deeper workflow.
Ask how exceptions appear in the PMS
The integration should make incomplete work visible. Test a missing field, payer failure, unsupported case, and result that arrives after the deadline. Ask:
- Is a task created?
- Who owns it?
- Is the missing field visible?
- Can staff see the source and attempt date?
- What closes the task?
- Does the final correction update the PMS record?
An external dashboard is not automatically a problem, but the practice must account for the additional queue and ownership.
Verify the claim with both companies
Ask the verification vendor and PMS provider to describe the same connection. Save the directory page, written field description, demonstration date, and test result. The Open Dental relationship page, for example, establishes published status groups but not data depth, workflow coverage, reliability, price, implementation quality, or practice fit for every listing. 4
When the descriptions differ, hold the integration claim until the vendors resolve the boundary.
Use an acceptance checklist
Before implementation sign-off, confirm:
- required fields can be read;
- the correct result is written to the agreed location;
- source and check dates are retained;
- incomplete results create visible work;
- staff handoffs have owners;
- duplicate entries are prevented;
- permissions follow the practice’s approved access model;
- the workflow has passed representative test cases.

Frequently asked questions
Does PMS integration mean automatic write-back?
No. Ask the vendor to show the exact fields, notes, documents, or tasks written into your proposed PMS workflow.
Is a PDF attached to the patient record an integration?
It is a form of data delivery, but it differs from structured fields. Evaluate the staff work and downstream reuse required.
What if the vendor is absent from the PMS directory?
Absence does not have one universal meaning. Ask both companies, inspect the page’s publication rules, and verify the workflow directly.
